Our Policies and Procedures


Age/Height/Weight Limitations

  • Rehabilitation therapy services at this facility evaluate and treats infants and children from Birth through age 13. In certain cases an evaluation only of a child 14 or older may be provided, followed by referral to other program(s).
  • For children already receiving therapy and approaching their 14th birthday, we will begin discharge planning 60 to 90 days before the birthdate.
  • Psychotherapy counseling is offered for children from age 8 up through age 17.

Height and Weight Limitations

  • Due to safety concerns with our equipment and space, as well as clients' and therapists' physical well-being, children more than 5' 3" tall, or weighing more than 135 pounds cannot be seen for Occupational Therapy.

Appointments and Attendance

  • Progress in therapy relies on commitment from the child's family to regular attendance at scheduled appointments!
  • For your convenience and to provide predictability in your child's schedule, we do endeavor to provide you with a standing weekly appointment.  This may be variable during the first few weeks after starting therapy, when space available may be in flux.
  • We reserve the right to change your child's appointment day/time for any reason, in collaboration with you, with appropriate prior notice.
  • The courtesy of prior notification (24 hours or more) for non-emergency cancellations is required.
  • Parents are sometimes tempted to cancel because the child is "not having a good day."  "Bad days" are often due to sensory overload and disorganization---let us help you help your child!  We can provide activities and input to put your child "back together" and turn a bad day into a better one.
  • Emergency cancellations due to illness need to be made by telephone a minimum of 2 hours before the appointment time, or the night before via the answering machine.
  • All absences require a make-up appointment to be scheduled within the next two weeks.
  • No-shows or last-minute cancellations may incur a $25.00 charge.
  • Two consecutive No-Shows or Late Cancellations may result in discharge from the program.

Payment for Services

While area hospitals and many local clinics charge $250 or more per hour of outpatient rehabilitation services, Sensational Kids is committed to offering reasonable rates to our clients and insurers.  We also offer payment strategies to help you meet your therapy expenses in a flexible, graduated manner, as follows:

  • All forms of payment--cash, checks, debit cards, and credit cards are accepted (AmEx, Discover, Diners, MasterCard and Visa.)
  • Graduated payment plans can be arranged for meeting deductibles or large co-insurance obligations; speak to Mr. Hunter Sahler, Finance Director.
  • Payment of any co-pays, co-insurance, or un-met insurance deductible is expected at the time of service, unless prior arrangements have been made;
  • Balances carried for more than 30 days (without prior formal arrangements) will result in suspension of services until the account is settled.

Safety

  • Due to our facility's emphasis on Occupational Therapy using a sensory integrative/NDT approach, rules pertaining to safety will be reviewed and strictly enforced with your child.
  • Children, whether patients or siblings, are not allowed in the therapy gym area without the presence of the therapist.
  • Siblings or friends are not allowed in the therapy session, unless specifically invited by the client and his/her therapist.  A friend may accompany a client with prior notice to the therapist.
  • Parents not controlling the behavior of siblings will be asked to leave the premises until the patient's treatment is concluded.
